What size should my company logo be for best possible online display?

For the best possible online viewing result, you can follow these guidelines for your logo:

  • The floor plan shows a maximum width of 300px
  • The exihibtor list shows a maximum width of 90px

In all cases; a square logo works better than a rectangle logo.

You can upload your logo (preferably both .JPG and .EPS files) in the Exhibitors Portal, under ‘Company information‘.

Is there a matchmaking program during Offshore Energy?

Yes, Offshore Energy Matchmaking programme makes it possible to get to know each other and to share knowledge about various topics related to Offshore Energy. For this programme we use a platform that caters both 1-on-1 meetings and round table sessions for 8 participants.

Meetings will take place at the event in our Matchmaking Area

How to participate?
There are two ways you can register to participate. As a visitor your can register for the matchmaking program when you book your ticket. Just check the box in regards to the matchmaking program and you will be informed by email how you can proceed from there. If you are an exhibitor you can register for the matchmaking program of book a round-table session when registering for the exhibitor badges.

Can I set up my own Wi-Fi network on my stand?

If the use of internet is important for the success of your exhibition participation, we advise to always use wired connections. You can order a wired internet connection in the RAI webshop, accesible through our Exhibitors Portal.

In RAI Amsterdam it is not allowed to supply your own Wi-Fi equipment with electricity. Wi-Fi is a radio signal, and unknown Wi-Fi networks will disrupt the Wi-fi network that the organization purchased for you.

I have a complaint, who can I contact?

The Offshore Energy project team strives to give you the best event experienence but we do understand that sometimes things go wrong.

If you have a complaint during the event, please refer to the Organization Office in exhibition hall 1 and we will try our best to help you solve the problem.

If you prefer sending your complaint by e-mail, please send it to service@offshore-energy.biz and we will contact you as soon as possible.

Can I borrow a wheelchair at the RAI?

It is possible to borrow a wheelchair. A reservation is needed and can be made by sending an email to frontoffice@rai.nl and provide us wih the following information:

  • name, address and city
  • date and time of your visit to RAI Amsterdam

A valid ID is mandatory!

The use of the wheelchair is free, but RAI Amsterdam does ask for a € 50,- cash deposit.

How can I contact RAI Exhibitor Services?

With questions about RAI webshop orders or other exhibitor facilities, you can contact RAI Exhibitor Services at: es@rai.nl.

To order extra’s for your participation or need changes in your booth construction OEEC2024 collaborates with RAI. RAI provides a webshop where you can add the items or services needed. To log in to the RAI webshop you will need a password. You can use the password from a previous edition or request a new password from the RAI Webshop.

Can I place something in the aisle in front of my stand?

No, unfortunately we cannot allow that. For safety reasons all aisles between stands must be completely accessible.

Can I display a large or heavy model in my stand, such as a boat, container or car?

Yes, but there are some restrictions you need to take into account. Please send your request and the specifications of the product you wish to display to: service@offshore-energy.biz.

For out rigging we work togheter with our experienced partner Mansveld Expotech. Download a order form on RAI Webshop and send it to: rigging@mansveldexpotech.nl 
For safety reasons, third-party rigging is prohibited. Rigging is only allowed above your own stand.

The maximum floor load for halls 1 up-to-and-including 5 of the RAI Amsterdam is 3,000kg per m2. In addition, the maximum load for hall 1 underneath the balcony is 500 kg per m2.

How do I request a permit from RAI, e.g. needed for air compression?

Please visit the RAI webshop, which you can access through our Exhibitors Portal. There you will find the application forms for permits.

When is the exhibition floor open to visitors?

The exhibition floor is open to visitors on:

  • Tuesday, 26 November – from 09.30 until 18.00 hrs
  • Wednesday, 27 November – from 09.30 until 18.00 hrs

Where can I buy (extra) parking tickets?

  • Are you an exhibitor?
    You can order (extra) parking tickets in the RAI webshop, which you can access through our Exhibitors Portal. Onsite you can buy tickets at the vending machines in the car parks or visit the RAI Exhibitor Services desk at Entrance K to place your order.
  • Are you a visitor / delegate?
    Parking tickets are for sale at the vending machines in the car parks.

What are the opening hours of the exhibition?

The exhibition floor is open to visitors on:

  • Tuesday, 28 November – from 09.30 until 18.00 hrs
  • Wednesday, 29 November – from 09.30 until 18.00 hrs

Are children allowed to attend the event?

No one under the age of 15 will be able to attend Offshore Energy Exhibition & Conference unless they have obtained prior written consent from the organizers. Such written consent can be overruled by the event locations policy. Visitors are advised to check current admission regulations with the relevant event location.

Do you need a badge to enter the exhibition floor?

For safety reasons, everyone attending Offshore Energy Exhibition & Conference is obliged to wear a badge. You will receive your badge in the registration area when you attend the event.

Besides security reasons, exhibitors / stand personnel also need their exhibitors badge to enter the exhibition floor before the exhibition opens.

To obtain  badge you need to register yourself and your stand personnel with a ticket through the Exhibiotors Portal.

Are there cell phone charging stations on the exhibition floor?

There is a cell phone charging station available in the entrance area, near the RAI Information Desk.

What can I do to attract as many people possible to my stand?

We provide tools that will help you invite business relations and increase the visibility of your presence at Offshore Energy Exhibition & Conference.

  • Digital invitation tool
    With this tool you can create invitations with your stand number and company logo and use these to invite business relations to your stand.
  • Banner generator
    With the banner generator you can download banners and footers with or without your stand number, to use on your website or in your e-mail signature, and use these to increase the visibility of your presence.

Both tools are also available in the Exhibitors Portal.

What types of digital and print promotion are included in my participation package?

Participating as an exhibitor in Offshore Energy Exhibition & Conference includes publication of company details on the following platforms:

  • Exhibitor list
  • Floor plan
  • Event guide
  • Several other on-site tools, such as the digital Rai Screens, floorplans and programs.

We only publish company details that are properly uploaded in the Exhibitors Portal. We cannot guarantee that details submitted after the deadline will be published in the event magazine or other printed issues.

Can I order a hand-scanner / leadscan license?

Yes, you can order one or more leadscan licenses to collect the contact details of visitors you meet on the exhibition floor. Each license can be used on one mobile device, such as a smartphone or tablet.

You can order leadscan licenses in the Exhibitors Portal, starting at €100 (excl. VAT) per license.
It is also possible to purchase licenses onsite, please refer to the FAQ desk at Entrance K.

Are we allowed to give away promotional products at our stand?

During Offshore Energy, a flyer and sampling ban is in place. The distribution of promotional material is only permitted from your own stand. If you distribute outside of your stand without permission from the organizer, you risk a fine of € 2,500 on top of the fee for distributing leaflets of € 3,000.

Would you like to distribute samples or leaflets in the entrance area, in front of the exhibition halls? We offer flyering as a sponsor option for €2,995 with a maximum of three sponsors. Please contact your account manager or send a message to sales@offshore-energy.biz for more information.

Is my stand insured? Are the things on my stand insured?

No. Insurance for fire, public liability and theft must be taken out by each exhibitor at their own expense. The insurance is to cover the full period of occupancy of the premises by the exhibitor, its agents and employees.

Can I use lasers at my stand?

No. Light (systems) may not be a nuisance to other exhibitors. Lasers and related systems are prohibited during the event.

Can I display something in a water tank?

If you have open water or other liquids at your stand, a permit is compulsory in order to prevent legionella disease. This permit is free of charge. The application form for a permit can be found in the RAI webshop, which is accessible through the Exhibitors Portal.

A permit is required for (functional) use of open fluids such as fountains, pressure washers, humidifiers, shower equipment, saunas, whirlpools and separate air conditioning systems. The use of liquids are not permitted without a permit.

Please note: Special permission is not required for normal kitchen water use.

Can we rent a meeting room during the event?

Can I fly my drone within the exhibition halls?

RAI Amsterdam’s exhibition halls, with their high ceilings, are ideal for flying drones. But to be able to control the use of drones, you will need permission from RAI Amsterdam to fly one within the premises. The application form for a permit can be found in the RAI webshop, which is accessible through the Exhibitors Portal.

Can I mount speakers in my stand?

Mounting of speakers:

a. Speakers should be mounted and directed to face inwards (in the stand).
b. Speakers mounted higher than 1.80 meters above the stand should be directed downwards (not horizontally).
c. Reverberation from the walls of the stand should be avoided as much as possible.

The application of smaller speakers distributed around the stand is preferred.

Can I use a microphone in my stand?

Exhibitors are required to hand in an application prior to the event for any performance that requires amplified sound, the use of a microphone or a sound system. Performances are only allowed with approval of the organization.

Whomever is responsible for the organization of the performance must provide their contact information to the organization and inform them of their whereabouts during the exhibition. This information shall be provided and e-mailed to Mrs. Nancy Slob-Corpeleijn; service@offshore-energy.biz.

What is the maximum noise level?

The maximum noise level in exhibition halls 1, 2 and 3 is 70dBA, measured at 1 meter distance from each speaker. Surpassing the permissible sound level for the benefit of special activities such as performances is not permitted.

Can I play (live) music in my stand?

Exhibitors are required to hand in an application prior to the event for any performance that requires amplified sound, the use of a microphone or a sound system. Performances are only allowed with approval of the organization.

Whomever is responsible for the organization of the performance must provide their contact information to the organization and inform them of their whereabouts during the exhibition. This information shall be provided and e-mailed to Mrs. Nancy Slob-Corpeleijn; service@offshore-energy.biz.

Can I hire a host(ess) for my stand?

Yes, you can order personnel services in the RAI webshop, which can be accessed through our Exhibitors Portal. Your order is directly placed with RAI Amsterdam, the exhibition venue.

Monday September 11th 2023: Get a 10% discount by placing your hostess reservation at least 28 days before the 1st event day.

Monday September 25rd 2023: You can place orders for this service up to 14 days before the 1st event day.

Can I hire a security guard for my stand?

Yes, you can order security services in the RAI webshop.  Your order is directly placed with RAI Amsterdam, the exhibition venue.

Monday October 26th 2024: Get a 10% discount by placing your security reservation at least 28 days before the 1st event day.

Monday November 11th 2024: You can place orders for this service up to 14 days before the 1st event day.

Something was stolen from my stand, what do I do?

Please go to the RAI Exhibitors service desk in Hall 1 and report the stolen items. The exhibitor is responsible for reporting the stolen items to the police.

The organization will provide the appropriate security in order to ensure the safety of visitors and exhibitors. OEEC is not responsible for any loss, damage or theft during the exhibition. The organization advises the exhibitors to consider private security, which can be requested through the RAI webshop. Only authorized surveillance via RAI Amsterdam is permitted.

My stand is damaged, what do I do?

Please go to the RAI Exhbititors service desk and report the damage. Someone from the organization will visit your stand to assess the damage and find a solution.

What is the Wi-Fi network and password?

The Wi-Fi information will be displayed during the event.

You can find it on the banners, screens and in the event guide. And of course you can always ask one of our staff members for the credentials.
