Building and dismantling

Can I get electricity on the outdoor area?

The outdoor area has no standard power supply. If you require electricity, please see the RAI webshop. To access the RAI webshop, please log into the Exhibitors Portal.

What is the weight restriction on the outdoor area?

The weight restriction on the outdoor area is 500 kg/m2.

Where is the outdoor area?

The outdoor area is located in front of Entrance K, the main entrance of Offshore Energy Exhibition & Conference.

When do I need to clear the outdoor area of my materials?

The break down of the outdoor area will start at 19.00 hours on Wednesday the 27th of November, at the same time as the exhibition break down. The outdoor area must be empty at 21.00 hours.

When can I build-up my outdoor area space?

Build-up on the outdoor area is only possible on Monday the 26th of November 2023 from 09.00 until 18.00 hours.

Is security provided on the outdoor area?

  • Security on the outdoor area is only provided during the night and during the build-up and dismantling periods.
  • During the opening hours of the exhibition, security is not provided.

Is security provided in the exhibition halls?

Yes. The organization will provide appropriate security in order to ensure the safety of visitors and exhibitors. Offshore Energy Exhibition & Conference is not responsible for any loss, damage or theft during the exhibition. The organization advises exhibitors to consider private security, but please note only authorized surveillance via RAI Amsterdam is permitted.

Private security can be requested in the RAI webshop, accessible through our Exhibitors Portal.

Where is my stand located?

You’ll be able to find your stand in the Floorplan… More information/an updated version of the Floorpan will follow soon.

Where do I leave my waste?

Every exhibitor will receive three waste bags, one per day. New waste bags will be placed on your stand every morning from Monday until Wednesday. At the end of each day, we ask you to tie up and place the waste bags in front of your stand. From there, they will be retrieved and processed by the cleaning staff.

Please note:

  • Only waste bags distributed by the organization will be retrieved and processed by cleaning staff on account of the organization (maximum of one per day).
  • If you have more waste, you are responsible for the collection and processing of the waste and charges will apply. If you or your stand constructor expect to have substantial waste from your stand you can order extra waste bags and/or a container in the RAI webshop, accessible through our Exhibitors Portal.

What is the maximum floor load capacity?

The maximum floor load for halls 1 up-to-and-including 5 of RAI Amsterdam is 3,000kg per m2.

Please note:

  • In addition, the maximum load for stands underneath the balcony in hall 1 is 500 kg per m2.
  • If you exceed this weight and/or cause damage to the floor, RAI Amsterdam reserves the right to invoice the cost of floor reparations.
  • If you wish to place heavy equipment on your stand, please contact our logistics partner CEVA Showfreight, You will find their order form in our Exhibitors Portal.

What is the maximum build height?

The maximum height of the exhibition halls is 10 meters, but we advise to not build highter than 4 meters.

Please note:

  • Stands located underneath the balconies have a maximum building height of 3 meters. The stand walls are 2,50 meters high.
  • These stands are marked on the floor plan with a green star.

Please note that custom made stands (space only package) higher than 2.50 meters need to have a finished back of their stand so no wires or woodwork is visible. The preferred color of this finish is white.

If exhibitors (or their stand builders) ignore this rule, their stand will be finished by stand constructor  and any costs incurred will be recovered from the exhibitor.

Where do I park my lorry/truck after unloading my equipment?

Do you wish to park a truck or a vehicle higher than 1.90 meters at RAI Amsterdam during an event? Please see Parking – Lorry Parking in the RAI webshop (accessible through our Exhibitors Portal) for more information and rates.

Is there storage available for stand materials?

  • A few stand blocks have empty space in the middle, behind the stands. If possible, you may also store your packaging materials there. Please note that this storage is not meant for stand constructors and is unsupervised.
  • If you prefer a storage unit within your full-service stand, you can opt for a lockable corner storage. The costs for a 1×1 meter corner storage is € 220,-. Order a corner storage with your application form in the Exhibitors Portal.
  • For large and heavy equipment, our logistics partner DB Schenker offers storage before, during and after the event. To order storage room, please see the RAI webshop for more information about extra storage. To access the RAI webshop, please log into the Exhibitors Portal.

How do I order forklift services?

Can I bring my own forklift?

You can bring your forklift to unload your truck outside the venue. Inside, forklifts are only allowed to be operated by DB Schenker, our logistics partner. Do I have to wear safety shoes?

During construction and dismantling hours for custom made stands, everyone is obligated to wear safety shoes and a helmet when the red lights in the venue are flashing.

If you want to enter the exhibition halls on Sunday 24th and Thursday 28th of November 2024 and do not have personal protective equipment yourself, you can purchase or rent it in the RAI webshop or at the RAI Hospitality Crew Centre on-site.

How do I reach the exhibition hall? / How is the hall accessible?

Hall 1 – three passageways:

  • East side: door 1.1 – 3.80m (h) x 4.10m (w)
  • East side: door 1.2 – 3.80m (h) x 4.10m (w)

Please contact our logistics partner DB Schenker to assist you with transporting (large) equipment, using a forklift or shipping your stand material to RAI Amsterdam.

Where are the elevators located?

Can I buy safety shoes at the venue?

In case you don’t have safety shoes in your possession, you can buy them at the RAI Hospitality Crew Centre (HCC). There are several options:

  • Buy a package deal consisting the helmet and shoes;
  • Buy only the helmet or the shoes;
  • Rent only the shoes.

Where is the Hospitality Crew Centre?

The RAI Hospitality Crew Centre is located in the parking complex for P1/P2/P3. If you need to deliver something to the HCC, you can access the complex at P6. Click here for a map.

Where are the Scan & Go locations? Where can I pick up my access pass during build-up and breakdown?

The Scan & Go locations for access passes are located at the P9 Loge at RAI Amsterdam. You can also use the Scan & Go machines at loading doors 1.2, 4.18, 5.13 and 6.4.

Please note these access passes are only valid during building and dismantling hours, they do not grant access to Offshore Energy Exhibition & Conference.

Do I need an access pass during build up and breakdown?

Yes, during the building and dismantling periods (Sunday 24, Monday 25 of November & Thursday 28 November 2024), access passes provided by RAI Amsterdam are mandatory to enter the exhibition halls. Passes can be ordered in the RAI webshop, available through the Exhibitors Portal.

Please note:

  • After registration you will receive a voucher which you need to collect your access pass. Passes can be collected at the P9 Loge at RAI Amsterdam, and by using the Scan & Go machines at loading doors 1.2, 4.18, 5.13 and 6.4
  • This access pass is only valid during building and dismantling hours, it does not grant access to Offshore Energy Exhibition & Conference.

If you forget to register for an access pass, you can still obtain one from the Hospitality Crew Centre. The Hospitality Crew Centre is located at the P3 Loge on the left side of the RAI building.
